Manager of Inventory Control & Company Planning

Peek Kids, a premium children’s retailer is experiencing rapid growth and we're hiring a Manger of Inventory Control and Company Planning to join our Planning and Distribution team. We're looking for a unique set of characteristics in our team members - you should have a proclivity for working with numbers, reports and data analysis, a keen eye for detail, does not accept the status quo and is always seeking innovative ways to enhance business processes and improve results.


Position Summary:

Design and Implement best in class inventory tracking and inventory control procedures. Implement an inventory system that integrates with the organization’s billing system and prepare inventory and gross margin analyses. Establish budgets, forecasts and financial targets using projections, historical, and other fact-based analysis that supports the delivery of long-term company goals. Drive operational change relative to inventory control and gross margin improvements. Lead performance improvement initiatives in partnership with senior leaders, internal business partners, warehouse and retail stores. Champion business and system process improvements with the ability to gain organizational buy-in and effectively accelerate and implement business initiatives.

Essential Functions:

  • Design and implement inventory control procedures aimed at timely and accurate inventory tracking and management.  Train personnel on proper inventory control procedures and ensure policies and procedures are being implemented and adhered to.
  • Implementation of an inventory system that integrates with the organization’s invoicing and financial system.
  • Identity opportunities to eliminate shrink and oversee the implementation of those initiatives.
  • Develop seasonal and quarterly financial targets for the Planning, Merchandising and Retails teams that support the delivery of long terms goals. 
  • Evaluate optimal inventory levels and implement strategies to reduce excess inventory
  • Collaborate with the Planning team with inventory buys.
  • Oversee and facilitate Annual and periodic Physical Inventory and Inventory Reconciliation.
  • Adapt current processes through technology in order to automate current tools and reporting.
  • Partner with IT team to ensure that each month we layer on more functionality and develop user friendly views within the POS system, Island Pacific.
  • Evaluate which reporting tools are needed and develop action plan and timeline for delivery, training, and implementation.
  • Develop, train, coach, and facilitate the introduction of new processes, new policies and procedures for all locations, to achieve more stable cost of goods and continuous improvement.
  • Help to establish meaningful metrics across the finance function related to inventory, COGS and Gross Margin, and assist in the monitoring of performance, identification of problems/opportunities, and the use of effective problem solving techniques to resolve them.
  • Assist in the development and implementation of an effective internal audit program based upon “self-audit” principles in key areas and monitor compliance to policies and procedures.

Job Responsibilities and Tasks:

Company Planning- Merchandise and Store Plans

  • Lead the development of sales, margin and inventory budgets and long range plans at the total channel and location level.
  • Develop seasonal and quarterly financial targets for the Planning, Merchandising and Store teams that support delivery of long-term goals.
  • Reach alignment with leadership team members on financial targets.
  • Partner closely with Planning and Distribution teams to ensure divisional plans support total company targets and that financial plan risks and opportunities are clearly communicated as part of seasonal review meetings.
  • Manage daily, weekly, monthly and quarterly recaps and forecasts at a channel and location level.
  • Articulate business results and forecast outlook.
  • Partner closely with business partners to lead productive monthly forecast meetings.
  • Ensure that pre-season plan strategies are adhered to or modified in -season to ensure financial plans are achieved.

Inventory Control

  • Create and maintain seasonal inventory reconciliation tool at the purchase order, vendor and season code level.
  • Ensure that merchandise payments, freight, duty and commission fees (payment headings) are tallied.
  • Align purchase order summary by season code and by month to payment schedule across all payment headings.
  • Sync weekly information to weekly payment schedule in the finance system (currently Quick books).
  • Establish weekly review with CFO to ensure timeliness of payments and timing of receipts are aligned.
  • Capture outstanding issues and resolve in current week to report back in the following week.
  • Report variance in LLC plan versus actual at each season end.  Provide recommendations to modify future season forecasts.
  • Develop monitoring system for all transfers to and from warehouse to store, warehouse to wholesale, and from store to store.
  • Capture discrepancies on a weekly basis.  Develop action plan on resolution to inventory inaccuracy through stock adjustments or month end variance report.
  • Create detailed process for inventory audit/ inventory control through the support of outside resource consultant or current knowledge base.
  • Create detailed process, roles, timelines, and metrics for evaluation for all inventory activities to include but not limited to warehouse cycle counts, store audits, store mid- year and year-end inventories.

Required Qualifications, Skills, and Experience:

  • Bachelor’s degree in Business, Finance or Supply Chain Management plus 7+ years experience in a high volume inventory/product environment
  • Knowledge of retail distribution required.
  • Experience managing inventory in a widely dispersed inventory environment with multiple locations.
  • Systems experience and knowledge of internal control.
  • Advanced computer skills and project management experience/orientation. Proficient in Microsoft Excel, and have aptitude to learn technical applications quickly.
  • Experience developing policies, procedures and internal controls, and driving process changes.
  • Demonstrated skills in listening, influencing, persuading and motivating internal and external business partners. 
  • Ability to think critically and express ideas effectively in both written and oral communication.
  • Ability to evaluate financial and business indicators and translate data into actionable information to drive results; proficiency in retail math.
  • Ability to think objectively and interpret meaningful themes from quantitative and qualitative data. Translate and simplify complex scenarios into key points.
